Task Switching: What It Is and What Helps

Task switching is the cost of moving your attention between two unrelated jobs. In their 2008 CHI study, "The Cost of Interrupted Work," interrupted participants actually worked faster on the interrupting task and finished it in less time — but reported significantly higher stress, frustration, time pressure, and effort. That is the trade nobody signed up for: you get the work done and pay for it in tension.

Why switching feels productive when it is not

Switching delivers a small hit of relief. Opening a new tab, replying to a message, or checking a dashboard gives the brain a clean, finished feeling at exactly the moment a harder task is getting uncomfortable. Those micro-completions are why a fragmented day can feel busy from the first minute to the last while producing very little that was actually difficult.

Structure helps at that stage, but it is not a substitute for rest, support, or a conversation with a professional.

What actually helps

Batch by cognitive mode, not by project. Reading, writing, and deciding use different rule sets. Group three writing tasks together and pay the switch cost once instead of three times.

Write a close-out note before you leave a task. One or two lines: where you stopped, the next concrete action, and anything you were holding in your head. This directly attacks attention residue, because the loop no longer needs to stay open to stay available.

Block the interruption rather than the task. If messages must be answered, answer them in two or three windows. Notifications that arrive at random are what create the residue in the first place.

Protect a re-entry buffer. If a meeting ends at 11:00, do not schedule substantive work at 11:00. Give yourself ten minutes to reload context, and you will spend less total time on the task that follows.

Keep one tab and one document open. Visual clutter is a standing invitation to switch, and it costs nothing to close.

What does not help

Trying harder is the least efficient lever. Multitasking in the sense of doing two attention-demanding things at once does not exist; what people call multitasking is rapid switching, and it is the thing being measured here. Longer hours are the other trap: because interrupted work raises stress rather than lowering output, extending the day mostly extends the tension.
